Terms of Service

1. Acceptance of Terms

By accessing or using SlipScan ("the Service"), provided by Cleva AI (Pty) Ltd ("we", "us", "our"), you agree to be bound by these Terms of Service. If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these terms.

2. Description of Service

SlipScan is a cloud-based expense management platform that provides AI-powered receipt scanning, trip-based expense tracking, approval workflows, and reporting tools. The Service is provided on a software-as-a-service (SaaS) basis.

3. Account Terms

To use SlipScan, you must:

• Provide a valid email address
• Create a secure 4-6 digit PIN
• Be at least 18 years of age
• Not share your login credentials with others

You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

4. Plans and Billing

SlipScan offers three plans: Starter (free), Pro (R299/month), and Enterprise (R999/month). All prices are in South African Rand (ZAR) and include VAT where applicable.

• Pro and Enterprise plans are billed monthly via Yoco
• New accounts receive a 7-day Pro trial at no charge
• You may cancel your subscription at any time
• Cancellation takes effect immediately, downgrading to the Starter plan
• We do not offer refunds for partial billing periods

5. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose
• Upload fraudulent or falsified receipt data
• Attempt to gain unauthorised access to other tenant accounts
• Interfere with or disrupt the Service or its infrastructure
• Reverse engineer, decompile, or disassemble any part of the Service
• Use automated scripts to access the Service beyond the provided API

6. Data Ownership

You retain ownership of all data you upload to SlipScan, including receipt photos, expense data, and company information. We do not claim ownership of your content.

You grant us a limited licence to process your data solely for the purpose of providing the Service, including AI-powered receipt scanning and analytics.

7. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We will endeavour to provide advance notice of planned maintenance.

8. Limitation of Liability

To the maximum extent permitted by South African law:

• The Service is provided "as is" without warranties of any kind
• We are not liable for any indirect, incidental, or consequential damages
• Our total liability shall not exceed the fees you paid in the 12 months preceding the claim
• AI-extracted receipt data should be reviewed for accuracy before submission

9. Termination

You may terminate your account at any time by contacting us. We may suspend or terminate your account if you violate these terms or if your usage poses a risk to the Service or other users. Upon termination:

• Your access to the Service will be revoked
• Your data will be retained for 90 days, then deleted
• You may request an export of your data before deletion

10. Modifications to Terms

We may modify these terms from time to time. Material changes will be communicated via email or in-platform notification at least 30 days before taking effect. Continued use of the Service after changes take effect constitutes acceptance of the modified terms.

11. Governing Law

These terms are governed by the laws of the Republic of South Africa. Any disputes arising from these terms or the Service shall be subject to the jurisdiction of the courts of South Africa.
